Baptist Hospitals of Southeast Texas is requesting proposals from qualified vendors to furnish, install, configure, commission, and support one Evolv Express Gen 2 dual-lane concealed weapons detection system for Baptist Hospital of
Southeast Texas Main Campus. The work includes the dual-lane hardware, software and services subscription, specified
peripheral equipment, on-site support, user training, go-live assistance, shipping, testing, and turnover.

PROJECT PURPOSE AND BACKGROUND

The project is intended to add a modern concealed weapons detection capability at a designated facility entrance while
supporting efficient movement of patients, visitors, staff, and vendors. Evolv Express uses advanced sensor technology and artificial intelligence to identify potential threats and distinguish them from many common everyday items. The system is intended to support, not replace, a layered security program combining trained personnel, operating procedures, and technology.

BASE SCOPE OF WORK

● Primary System: furnish one Evolv Express Gen 2 dual-lane hardware purchase, standard configuration, manufacturer
SKU 901-00011-00-HP.
● Software and Services: provide one Evolv Express Gen 2 dual-lane software and services subscription for an Evolv purchase, standard, manufacturer SKU 901-00012-00-SS-HP, for a 60-month subscription term.
● Included Dual-Lane Configuration: one transmit tower, two receive towers, two standard/wide-width adjustable mats, one country-specific 6-foot power cord, installation kit with bolt-down kit, two 10-inch wireless tablets on floor stands, two 10-inch wireless tablets on desktop stands, four spare tablet batteries, and one one-slot external tablet battery charger.
● Peripheral Equipment and Services: include one Evolv Express Operational Test Kit, SKU 101-00257-01; one DTR Tablet Battery Charger, 6-Slot, SKU 390-00256; one DTR Tablet Replacement Battery, 90W, SKU 390-00255; one Pull Handle Kit, SKU 101-00598-01; one day of on-site support, SKU 610-00001; one day of installation, user training, and go-live services, SKU 610-00036; and all required shipping/freight.

CONTRACTOR QUALIFICATION REQUIREMENTS

● Respondents shall be authorized and qualified to furnish, install, configure, and support Evolv Technologies, Inc. products and shall identify applicable manufacturer authorization, training, and support credentials.
● Respondents shall provide personnel experienced with concealed weapons detection systems and entrance-screening operations in active healthcare or similarly occupied environments.
● Respondents shall provide the specified Evolv Express Gen 2 dual-lane system and listed manufacturer SKUs. Any proposed substitution or deviation shall be clearly identified, fully documented, and subject to owner approval.
● Respondents shall coordinate installation and go-live activities with hospital security, facilities, and information
technology representatives to minimize disruption and preserve safe access.
● Respondents shall describe the proposed technical support, maintenance, preventative maintenance, break-fix
response, training, escalation, and warranty/service coverage for the full subscription term.

● Narrative proposal describing the respondent’s approach to procurement, delivery, installation, configuration, testing, user training, go-live, and turnover.
● Itemized pricing for hardware, software and services subscription, peripheral equipment, installation, on-site support,

● Equipment schedule listing manufacturer, product description, quantity, manufacturer SKU, subscription assumptions,
included accessories, proposed substitutions, and exclusions.
● Project schedule showing order placement, anticipated delivery, site readiness review, installation, operational testing, training, go-live, and final acceptance milestones.
● Description of support availability, response and escalation process, maintenance coverage, software updates, warranty terms, and owner support responsibilities.
● Copies of applicable business licenses, insurance, manufacturer authorization or partner credentials, and subcontractor qualifications.

The Minimum Bid is the lesser of 1) the amount awarded in the judgment plus interest and costs or 2) the adjudged value. However, the Minimum Bid for a person owning an interest in the property or for a person who is a party to the suit (other than a taxing unit), is the aggregate amount of the judgments against the property plus all costs of suit and sale. ALL SALES SUBJECT TO CANCELLATION WITHOUT PRIOR NOTICE. THERE MAY BE ADDITIONAL TAXES DUE ON THE PROPERTY WHICH HAVE BEEN ASSESSED SINCE THE DATE OF THE JUDGMENT.

Note: Prior to the day of the sale, a bidder must request a Statement of No Delinquent Tax Owed from the Jefferson County Tax Office. This request for statement is available on the Jefferson County Tax Office website or available at the tax office. If you are purchasing property in the name of a company, you must provide a copy of the Assumed Name Certificate, which can be obtained from the Jefferson County Clerk’s office or website, or a Franchise Tax Account Status, with a list of the officers and directors, which may obtain from the Texas Comptroller’s Office Website. If you are not an officer or director of the company, you must also provide a letter on company letterhead signed by an officer or director, giving you authorization to bid on behalf of the company.

A bidder at the sale must be registered, at the time the sale begins, with the person conducting the sale. The bidder must submit the letter (Statement of No Delinquent Taxes Owed) to the person conducting the sale. Once the sale begins at 10:00 a.m., no one will be allowed to obtain a bidder number.
